BuildCompass LLC ("BuildCompass," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you access or use our website and platform (the "Service").

If you use the Service on behalf of an organization, this Policy applies to you and your organization's Authorized Users. This Policy does not cover third-party websites or services you may access through the Service.

1. Information We Collect

We collect information in three main categories: (A) account and business information, (B) customer content and project data, and (C) technical and usage data.

A) Account and Business Information

Account details: name, email address, password (stored in hashed form), role and permissions
Organization details: firm/organization name and team membership details
Communications: messages you send to us (support requests, feedback, form submissions)

B) Customer Content and Project Data

When you use BuildCompass, you may upload or generate content such as:

Architectural plan sets, drawings, schedules, reports, and related files
Project metadata (project name, jurisdiction, configuration, notes)
Outputs generated by the Service (findings, evidence references, summaries, reports)

Important: Project files may include personal information (e.g., names, addresses, phone numbers) depending on what you upload. We treat uploaded files as Customer Content and handle them as described in this Policy.

C) Technical and Usage Data

Device and browser data: IP address, browser type, device identifiers, operating system
Log data: timestamps, pages viewed, actions taken, errors, performance metrics
Security data: authentication/session data, fraud/abuse signals, rate-limit events
Cookie data: as described in Section 7

2. How We Use Information

We use the information we collect to:

Provide and operate the Service

Create and manage accounts and Organizations
Authenticate users and enforce access controls
Process uploads and generate outputs
Maintain usage limits and protect against abuse

Process billing and subscriptions

Manage subscriptions, invoices, and payments through our payment processor(s)
Provide access to billing portals and account management features

Note: We do not store full credit card numbers. Payment details are handled by our payment processor(s).

Communicate with you

Send transactional messages (e.g., invites, verification, password resets, billing notices)
Send service updates and operational notices
Provide customer support and respond to requests

(If we ever send marketing emails, you can opt out; service/transactional emails may still be sent.)

Improve and protect the Service

Debug, monitor, and improve reliability and performance
Analyze usage trends to improve product experience
Prevent fraud, abuse, and security incidents

Legal and compliance

Comply with applicable laws and enforce our Terms of Service
Protect the rights, safety, and property of BuildCompass, our users, and others

3. AI and Automated Processing

BuildCompass may use automated systems (including machine-learning components) to process Customer Content in order to provide the Service (for example, extracting labeled information, identifying references, and producing findings).

Evidence-first approach

The Service is designed to surface findings based on what is explicitly documented in the materials you provide.

No professional guarantee

Outputs may be incomplete or incorrect depending on document quality and scope.

Use of third-party processors

We may use vetted third-party service providers to help process data (including for document processing, storage, and delivery). Where feasible and appropriate, we configure and contract with providers to process data only to provide services to us, not for their independent purposes.

4. How We Share Information

We do not sell your personal information or Customer Content.

We may share information in these limited cases:

A) Service Providers (Subprocessors)

We use vendors to help deliver the Service (e.g., hosting, storage, email delivery, analytics, error monitoring, and payment processing). These providers process data on our behalf under contractual protections appropriate to the service.

Examples may include: payment processors (e.g., Stripe) and email delivery providers (e.g., Resend), depending on your usage.

B) Legal, Safety, and Enforcement

We may disclose information if we believe in good faith that disclosure is necessary to:

Comply with law, regulation, legal process, or governmental request
Enforce our Terms of Service
Protect the security or integrity of the Service
Prevent harm, fraud, or abuse

C) Business Transfers

If BuildCompass is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will take reasonable steps to ensure continued protection of your information.

D) With your direction or consent

We may share information when you request or consent to it.

5. Data Retention

We retain information for as long as necessary to provide the Service and for legitimate business and legal purposes.

Account and Organization data: retained while your account is active.
Customer Content: retained while you keep it in the Service, unless you delete it or close your account.
Deletion requests: when you delete content or close an account, we will delete or de-identify information within a commercially reasonable period. Some data may remain in backups for a limited time.
Billing records: retained as required by law and standard accounting practices.

6. Security

We implement reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.

No system is completely secure. You are responsible for maintaining the confidentiality of your credentials and restricting access to your account appropriately.

We use cookies and similar technologies for:

Analytics / performance (if enabled)

If you reside in a U.S. state with applicable privacy laws (e.g., California), you may have additional rights. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising in a way that would require an opt-out under many state laws.

The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above. If changes are material, we may provide additional notice through the Service or by email.

Your continued use of the Service after an update means you accept the updated Policy.
